MemberFocus, Inc. ("MemberFocus," "we," "our," or "us") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard the information you provide when you use the MemberFocus mobile application and related services (collectively, the "App"). By creating an account or using the App, you consent to the data practices described in this policy. If you do not agree, please do not use the App.

1. Information We Collect

We collect the following categories of information: Account & Profile Data • Full name (first and last) • Email address • Phone number (optional) • Club membership and assigned role (member, manager, or staff) • Profile photo (if uploaded) • Account creation date Submission Content • Feedback submissions you create, including title, description, category, urgency level, location details, and attached photographs • Status updates and manager responses associated with your submissions • Internal notes (visible only to club managers) Messages • Messages you send through the in-app messaging thread attached to a submission • Message timestamps and your role at the time of sending Technical & Usage Data • Device type, operating system version, and app version (for crash reporting and compatibility) • App feature usage patterns (aggregated and anonymized) • Session authentication tokens (stored securely in the device Keychain) We do NOT collect precise geolocation, payment information, Social Security numbers, government-issued ID numbers, or biometric data.

2. How We Use Your Information

We use the information we collect to: • Provide and operate the App, including processing feedback submissions and facilitating communication between members and club staff • Authenticate your identity and maintain your session securely • Send push notifications and email alerts about submission status changes (based on your notification preferences) • Generate analytics and reporting for club managers (submission trends, response times, category breakdowns) — always at an aggregate or role-level, never identifying individual members in manager-facing dashboards without consent • Comply with legal obligations and enforce our Terms of Use • Investigate reported content violations, IP infringement claims, and safety concerns • Improve and debug the App using aggregated, anonymized usage data We do not use your information for targeted advertising, and we do not sell, rent, or trade your personal information to third parties.

3. Information Sharing and Disclosure

Within the App Your name, role, and submission content are visible to other authorized members of your club according to their role permissions. Managers and staff can see all submissions for their club. Members can only see their own submissions. Service Providers We share data with a limited number of third-party service providers that help us operate the App: • Supabase (database, authentication, and file storage) — processes data on our behalf under a Data Processing Agreement; data is stored in the United States. • Apple (push notification delivery) — submission status notifications are routed through Apple Push Notification service (APNs). Apple does not receive the content of your notifications. Legal Requirements We may disclose your information if required to do so by law, subpoena, court order, or if we have a good-faith belief that disclosure is necessary to protect the rights, property, or safety of MemberFocus, our users, or the public. Business Transfers If MemberFocus is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a materially different privacy policy. Club-Directed Restrictions If your club instructs us in writing to restrict or withhold disclosure of member information — including limiting what is visible to specified roles, declining to provide member data in response to permitted internal requests, or otherwise narrowing the access patterns described above — we will honor that direction with respect to that club's data, except where disclosure is required by law, subpoena, court order, or to protect the rights, property, or safety of MemberFocus, our users, or the public. Club-directed restrictions add to your protections; they cannot expand sharing beyond what this Privacy Policy permits. We do not share your information with your club's governing body, other club members beyond the role-permissions described above, advertisers, or data brokers.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the App's services. • Account and profile data: retained until you request account deletion. • Submission content and messages: retained for 36 months after submission closure, then archived or deleted, unless a longer retention period is required by applicable law or club policy. • Legal consent records (accepted Terms of Use / Privacy Policy versions): retained for 7 years to satisfy potential regulatory audit requirements. • Content flag records: retained for 3 years after resolution. Upon account deletion, we will delete or anonymize your personal data within 30 days, except where retention is required by law or for legitimate business purposes (such as unresolved legal disputes).

5. Data Security

We implement industry-standard security measures to protect your information: • All data in transit is encrypted using TLS 1.2 or higher • Data at rest is encrypted by our database provider (Supabase / PostgreSQL) • Authentication tokens are stored exclusively in the iOS Keychain — never in plain-text local storage • Role-based access control (Row Level Security) ensures database records are only accessible to authorized users • Client-side rate limiting prevents brute-force attacks on authentication endpoints • Input sanitization is applied to all user-supplied text before it is stored or queried While we take these measures seriously, no system is perfectly secure. We cannot guarantee absolute security and encourage you to use a strong, unique password and to report any suspected security issues to support@memberfocusapp.com.

6. Your Privacy Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information: Right of Access — Request a copy of the personal information we hold about you. Right of Correction — Request that we correct inaccurate or incomplete information. Right of Deletion — Request that we delete your account and associated personal data (subject to retention obligations). Right to Restrict Processing — In certain circumstances, request that we limit how we use your data. Right of Portability — Receive your data in a structured, machine-readable format. Right to Object — Object to certain types of processing, including profiling. California Residents (CCPA/CPRA) California residents have additional rights, including the right to know what categories of personal information we have collected and shared, the right to opt out of the sale of personal information (we do not sell personal information), and the right to non-discrimination for exercising privacy rights. To exercise any of these rights, contact us at support@memberfocusapp.com. We will respond within 30 days. We may need to verify your identity before processing your request.

7. Children's Privacy

The App is intended for use by adult club members and staff only. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal information without appropriate consent, please contact us at support@memberfocusapp.com and we will take steps to delete that information.

8. Third-Party Links and Integrations

The App may contain links to external websites or reference third-party services (for example, directions to the club). This Privacy Policy does not apply to those external services. We encourage you to review the privacy policies of any third-party sites or services before providing information to them.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective Date" at the top of this policy and require you to re-accept the updated terms before continuing to use the App. Non-material changes (corrections, clarifications) may be posted without notification. Your continued use of the App after accepting the updated policy constitutes your consent to the revised terms.
